Creative proposal
Wedding photography proposal template
A complete proposal you can send after filling in the brackets. Copy the text or download the PDF, then make it yours.
Make it yours before sending
- Replace every [bracket] with the client's real details. Search for "[" to catch them all.
- Set real prices in the investment tiers, and cut to one option if tiers do not fit the job.
- Rewrite "Understanding your goals" in the client's own words from your call. It is the section they read closest.
- Delete anything that does not apply. A shorter, true proposal beats a longer, generic one.
Wedding photography proposal
Wedding photography proposal prepared for [Client Company]
1. The opportunity
Prepared for [Client Company] by [Your Name], [Date].
Thank you for thinking of me for your wedding on [date]. This proposal covers how I will photograph your day, from the timeline planning that makes great photos possible to the gallery you will keep forever, along with exactly what is included and when you will receive it.
2. Where you are and where you want to be
You are getting married at [venue] on [date] with around [number] guests, and you want photographs that feel [describe: candid and warm, editorial, timeless] rather than stiff and posed.
The moments that matter most to you are [describe: getting ready, the ceremony, family formals, the party], and you want to actually enjoy your day while they are captured.
3. Proposed approach
- Phase 1, Timeline planning. Before the day, we walk through your schedule together and I help build a photo timeline with realistic buffers, because the difference between rushed photos and relaxed ones is planned light and planned time.
- Phase 2, The day. I photograph [hours] hours of coverage [with a second photographer], working mostly unobtrusively, and directing only where direction helps (formals and portraits).
- Phase 3, Editing. Every delivered image is individually edited in the style you saw in my portfolio: consistent color, real skin tones, no filter-of-the-month.
- Phase 4, Delivery. A sneak peek arrives within [72] hours for sharing, and the full gallery within [8] weeks, with print rights and a print store.
4. Deliverables and scope
- [Hours] hours of wedding day coverage [plus a second photographer]
- A pre-wedding timeline consultation and a family formals shot list
- A minimum of [number] individually edited images in an online gallery
- A sneak peek of [20+] images within [72] hours
- Full gallery within [8] weeks, with personal print rights
- [Optional] an engagement session and [an heirloom album]
5. Out of scope
- RAW files (unedited files are not delivered; the edited gallery is the finished work)
- Videography (I can recommend filmmakers I love working alongside)
- Physical prints and albums beyond the tier chosen (available in the print store)

8. Why me
- Timeline help before the day, because great photos are planned into a schedule, not squeezed out of one
- I shoot with backup cameras and dual card slots, and your images are backed up in [three] places before I sleep
- A real delivery date in writing, so you are never chasing your own wedding photos
9. Working terms
This proposal is valid for [30] days. A deposit of [amount or %] is due to begin, with the balance due [on delivery / per the schedule]. Work outside the scope above is quoted separately before it starts.
Your date is reserved only by the signed agreement and deposit, and I turn away other bookings for it once reserved. Because a wedding cannot be reshot, my liability is capped at fees paid, and I carry backup equipment and a network of trusted colleagues in case of emergency. If your date changes, your booking moves once without charge to any available date within [12] months.
10. Next steps
To move forward, approve this proposal in writing and I will send the agreement and the deposit invoice. We can begin as soon as the deposit is received.
